CHAPTER ONE
1.1 INTRODUCTION
A hospital is an institution for health care that provides patient treatment by specialized staff and equipment. Usually, hospitals are funded by the public sector, by health organizations (for profit or nonprofit), health insurance companies or charities, including funds by direct charitable donations. Historically, however, hospitals were often founded and funded by religious orders or charitable individuals and leaders. Modern-day hospitals are largely staffed by professional physicians, surgeons, and nurses. (Adrain P. 2005)
This project “Automated Hospital Equipment Management System” includes registration of patients, storing their details into the system and also computerized billing in the pharmacy, and labs. This software has the facility to give a unique id for every patient and stores the details of every patient and the staff automatically. It includes a search facility to know the current status of each room. User can search availability of a doctor and the details of a patient using the id.
The Hospital Management System can be entered using a username and password. It is accessible either by an administrator or receptionist. Only they can add data into the database. The data can be retrieved easily. The interface is very user-friendly. The data are well protected for personal use and makes the data processing very fast.
1.1.1 BRIEF DESCRIPTION OF HOSPITAL ACTIVITIES
A Hospital is a place where patients visit to for medical checkup or diagnosis and treatment. Hospitals provide facilities like:-
- Consultation and diagnoses of diseases by doctors.
- Provision of treatment facilities.
- Facility for admitting Patients (providing beds, nursing, medicines etc.)
- Immunization of patients/children.
Various operational works are done in a hospital; all these works are done manually using papers as follows:
- Recording information about the patients that visit a hospital for treatment.
- Generating bills.
- Recording information related to diagnosis given to patients.
- Keeping record of the Immunization provided to children/patients.
- Keeping information about various diseases and medicines available to cure them.
These are the various jobs that are done in a hospital by the operational staff and doctors; information about patients is recorded manually by just writing the patients name, age and gender. Whenever the patient visits, his information is stored again;
Bills are generated by recording price for each service provided to patient on a separate sheet and at last they all are summed up.
Diagnosis information to patients is generally recorded on the document, which contains patient information. It is destroyed after some time to decrease the paper load in the office.
Immunization records of children are maintained in pre-formatted sheets, which are kept in a file.
Information about various diseases is not kept as any document.
Doctors themselves do this job by remembering various medicines.
All this work is done manually by the receptionist and other operational staff and lots of papers are needed to be handled and taken care of. Doctors have to remember various medicines available for diagnosis and sometimes miss better alternatives as they can’t remember them at that time
1.2 STATEMENT OF THE PROBLEMS
Many problems are encountered with the manual method of handling files. It is quite unfortunate that University of Calabar Teaching Hospital. In spite of her large medical service and recognition still keep her records manually.
The problems associated with this manual system include:
- Lack of immediate retrievals: -The information is very difficult to retrieve and to find particular information like- E.g. – To find out about the patient’s history, the user has to go through various registers. This results in inconvenience and wastage of time.
- Lack of immediate information storage: – The information generated by various transactions takes time and efforts to be stored at right place.
- Lack of prompt updating: – Various changes to information like patient details or immunization details of child are difficult to make as paper work is involved.
- Error prone manual calculation: – Manual calculations are error prone and take a lot of time this may result in incorrect information. For example calculation of patient’s bill based on various treatments.
- Preparation of accurate and prompt reports: – This becomes a difficult task as information is difficult to collect from various registers
This project is aimed at devising a system that will eradicate these above problems and improve medical services to the citizens. This computerization process is believed to be capable of not only solving these problems but many more to be encountered.
1.3 AIM OF THE PROJECT
The main purpose of this project is to investigate and design a computer based medical services, capable of eradicating the above mentioned problems to be speeding up the processing, storing and retrieval of information which greatly assist medical personnel in the performance of their duties. Again, it will provide a means to ease medical laboratory statistics and improve decision making by reducing processing time, as well as reducing the communication gap between the Doctors and other staff still involved in the patient medical care. It will also reduce human errors to the barest minimum and improve confidentiality of files. In summary, the objective is to set an efficient medical database for the advancement of the medical research and analysis.
1.4 JUSTIFICATION FOR THE PROJECT
The researcher during the course of this investigation found out that all the medical keeping record are done manually and having seen the problem associated with the manual system, the researcher calls for a new system in patient related services. The new system is justified in many ways.
The design of the new system will eliminate the problems of the system mentioned earlier by providing quick file retrieval and searches. By providing accurate up to date information on demand.
It will minimize redundantly, loss of information will be prevented, the need for volume paper files and unnecessary spending of paper folders, file cabinet will be removed and adequate security will be provided to ensure database system.
Furthermore, the new system is justified when receptionist, medical record clerks in recording would not be our worked again by the implemented of the automatic system.
1.5 OBJECTIVES OF THE STUDY
The main objective of this study is to develop a computerized management system. Others include;
- To provide total asset visibility.
- To allow high levels in giving full patient history.
iii. To reduce lead time, shelf space, and errors due to damage, fatigue of staff.
- To facilitate “just in time” deliveries.
- To provide full process control for the patient.
- To provide higher level security as the system would be password to prevent unauthorized access.
vii. To shorten cross docking time and speeds up sort/pick up rate.
viii. To help the management plan, monitor, optimize resources and ascertain their financial position at any time.
1.6 THE PROJECT SCOPE
The hospital management system is capable of supporting any number of staff of the hospital and each module of the package runs independently without affecting other modules. This means that all departments of the hospital work independently.
1.6 NEED FOR AUTOMATED SYSTEM.
The need for an Automated Hospital Management System can be summarized as follows:-
Planned approach towards work: – The activities in the organization will be well planned and organized. The data will be stored properly in data stores, which will help in retrieval of information and in enforcing security.
Accuracy: – The level of accuracy in the proposed automated system will be higher. All operations would be done correctly and accurately. In practice, errors are not completely eliminated, they are reduced.
Reliability: – The reliability of the proposed system will be high as information is stored properly and securely.
No Redundancy: – In the proposed system utmost care would be taken to ensure that no information is repeated anywhere, in storage. This would assure economic use of storage space and consistency in the data stored.
Immediate retrieval of information: – The main objective of the proposed system is to provide for a quick and efficient retrieval of information. Any type of information would be available whenever users require them.
Immediate storage of information: – In manual system, lots of problems are encountered in trying to store large amount of information.
Easy to Operate: – The system should be easy to operate and should be such that it can be developed within a short period of time and fit the limited budget of the user.
1.8 DEFINITION OF TERM
- SYSTEM: -It is a set of interacting or interdependent component forming an integrated whole or a set of elements to other elements.
- MANAGEMENT: – Is the organization and coordination of the activities of a business in order to achieve the desired goals.
- HOSPITAL: – Is a health care institution providing patient treatment by specialized staff and equipment.
